Terms of service

What Plauso gives you, what we expect from you, how we handle your customers' details on your behalf, and what happens if either of us wants to stop. If you order signs or print, the purchase terms apply as well.

DraftThis text has not been reviewed by a lawyer.

We wrote it ourselves, as plainly as we could, and it describes how Plauso works today. But no lawyer has read it, and we are not going to pretend otherwise. If you see something that does not match how the service actually works, we want to know: write to support@plauso.app.

Who you are contracting with

Plauso is a service from Nordkod Media AB, a Swedish company. Creating an account means entering an agreement with us about the service itself. How we handle personal data is in the privacy policy, and if you buy signs, the purchase terms cover that order.

What Plauso does

Plauso helps you ask your customers for a review when the job is done. You add customers by hand, from a file or in the app, or let them flow in from a system you connected or from the booking on your website with us. The request goes out by text or email, on its own if you have switched autopilot on. You also get a short link and a QR code that lead straight to your profile.

Around that there are more tools: reply suggestions for reviews, a monthly report with the numbers, a website with booking, a view of how you show up next to your competitors, and an app with notifications. Which ones are included depends on the plan, and what your plan contains is listed in the pricing and under Plan in your account.

The agreement covers the features that exist in the service and are included in your plan. We never describe a feature as ready before it can be used, and we never charge for something that doesn't exist.

What Plauso does not do

Three things we want to be blunt about, because others in this business hint at the opposite.

  • We do not remove reviews, and we cannot promise that anyone else will. The review sits with Google or whichever platform you chose, and only they can take something down. If a review breaks their rules you can report it to them. They decide the outcome.
  • We do not filter. Every customer gets the same question, whether or not you expect a good review. Asking only the happy ones is forbidden both here and in Google's guidelines, and Plauso has no feature for it.
  • We do not write reviews and we do not buy them. You must not reward anyone for writing one either: no discount, no gift card, nothing.

Your account

An account has one email address, and you sign in with a code we send there. There is no password. That means whoever reaches your inbox reaches your account: keep it protected, and tell us straight away if you think someone else has been in.

You can also sign in with your Google account or with BankID. If you do, that provider's own terms cover the sign-in itself, and what we receive from them is set out in the privacy policy and on the Google user data page. Removing our access at their end does not remove your Plauso account: the code by email works as usual.

You are responsible for keeping the account details correct: business name, address, and the sender name your customers see in the text message.

Sending and autopilot

The request is the same for all your customers, and some rules always apply: nothing is sent between 21:00 and 09:00 in the recipient's time, never to the same person twice within 90 days, and at most one reminder, no sooner than 3 days after the request, and only to someone who has not opened the link. Every message carries a link to stop receiving more. These rules cannot be switched off.

Autopilot is your choice. With it on, the service sends the request by itself to customers who are added, after the delay and up to the daily limit you chose. When you switch it on you decide whether the customers already waiting are included or whether you send to them yourself, and you can pause it, change the pace or switch it off whenever you like.

The first time you switch it on, you confirm that the contacts are customers who bought from you, that you don't pick them by what you expect them to think, that everyone gets the same question, and that they can say no. The confirmation covers every message autopilot sends. If it stops being true, pause it or switch it off.

The link in every message is personal to the recipient. In your account you see whether and when it was opened, but not whether a review was written, because only the platform can know that. The reminder to book again goes only to customers who ticked the box for it themselves when they booked, and neither you nor we can tick that box for them.

Routing between your profiles

If you have several review profiles, the requests can be shared between them: with shares you set yourself (your own routing, from Start) or with shares worked out from where reviews are needed (needs-based routing, on Grow and Pro). Without routing, every request goes to your primary profile.

Every customer gets the same request. Which review site the link leads to is decided by a distribution that never looks at who the customer is or what they think. The site is drawn for each request with shares that are the same for every customer, the reminder goes to the same site as the request, and neither you, your staff nor we can pick the site for an individual customer.

Every profile in the split gets at least 10% of the requests, a share moves by at most 15 percentage points a day (only the very first split starts straight away with your shares), and a change applies from the next recalculation at 7 am Swedish time, also when you remove or add a profile. Routing never switches a profile off by itself. Only the account owner can change it, and every change is stored with who made it and when. The goals belong to the business and only steer routing. They are not targets for staff.

Google's numbers are read automatically. For other platforms, routing relies on where you tell us you stand, and without that the requests there follow the priority you set. Trustpilot, Tripadvisor, Capterra and custom links are not part of the split. Reco shares only for Swedish businesses, and the QR code, the short link and the poster always lead to your primary profile.

What you are responsible for

  • That the people you add really have bought from you or booked with you. You confirm it when you add customers and when you switch autopilot on, and that confirmation is what we rely on.
  • That the phone number or email address is correct.
  • That you follow the rules of the platform you collect reviews on. Google's guidelines apply even when the request is sent from here.
  • That you use the sending only to ask for a review. Offers, discounts and other marketing do not belong in it.
  • That you do not work around the opt-out. Every message carries a link to stop receiving more, and a customer who used it must not be added again.
  • That what you publish is yours. Reply suggestions, profile texts and the website draft from the language model are exactly that: suggestions. Read them before you use them, because what you put out is on you. That includes replies and posts published to Google from here, and auto-replies you switched on.
  • That you have the customer's permission before you share their review as an image, and that you have the right to the logos, pictures and texts you upload.
  • That the people you add as extra recipients of the monthly report want to receive it.

What we are responsible for

We deliver the service as described on the site and in the account, we say plainly what each feature does and does not do, and we fix faults we are told about.

We do not promise the service is never down. It runs on suppliers, and both they and we sometimes need to do maintenance. If an outage is long, or planned, we tell you.

Your customers' details are processed only to deliver the service to you. There you are the controller and we are your processor. The next two sections are the agreement about that.

The data processing agreement

This section and the next one are the data processing agreement between you and us. It applies from the moment you create an account and for as long as we process data on your behalf, and you do not need to sign anything extra. If you need it as a separate signed document, write to us.

You are the controller for the details about your customers, because you decide who gets the request and why. We are your processor and handle them only on your behalf. This is what the processing looks like:

PartWhat applies
PurposeAsking your customers for a review and reminding them once, showing you how it goes, taking bookings through your website with us, and reminding people to book again when they asked for it themselves. If you connected your Business Profile, also showing the reviews there, drafting reply suggestions and publishing the replies you approved.
Data subjectsYour customers and the people who book with you. Also colleagues you invite and recipients you add to the monthly report. With a connected Business Profile also the people who wrote reviews about you on Google.
The dataFirst name, mobile number and email address. For a booking also name, address, service, time, message and whether the customer wants a Swedish RUT or ROT tax deduction. Also when the request was sent, whether the link was opened, opt-outs, and the customer's own choices in the booking form. From a connected Business Profile: the reviewer's display name, the review's text and rating, and your reply.
What we doStore it, send texts and emails, note opened links, show it to you and delete it. Google reviews we also send to the language model for reply suggestions, and we publish the reply in your name once you have approved it or once an auto-reply you switched on has been written. Nothing else.
How longAs long as your account exists. When the account is deleted, we delete it. Our backups keep it until the backup is pruned, at most three months later, and a deleted account is never put back from a backup. Google reviews are stored encrypted for at most 30 days, are never in the backups and are deleted at once when you disconnect the profile.
WhereWith the suppliers on the Sub-processors page. Several of them are American companies. How the transfer is protected is in the privacy policy.

What we promise as your processor

  • We process the data only on your instructions: this agreement and what you do in the service: which customers you add, what you switch on and what you switch off. If we believe an instruction breaks data protection law, we tell you.
  • We do not use it for purposes of our own. We do not sell it, do not share it with other customers and train no model on it.
  • The people at our end who can see the data are bound to confidentiality and look only when it is needed to help you or fix a fault.
  • We protect it: the storage is private, traffic is encrypted, contact details in the sending log are hashed, and the keys to systems you connected are sealed.
  • We use only the suppliers on the Sub-processors page. If one is to be added or replaced, we email the account owner before it is put to use. If you object and we cannot find a solution, you can end the agreement before the change takes effect.
  • We help you when one of your customers wants to know what is stored, or wants something corrected or deleted. Much of it you can do yourself: export the customers and bookings, remove a customer from the queue. Every message also carries a link to opt out.
  • If we discover a personal data breach affecting your customers, we tell you without undue delay, with what we know, so you have time to make your own report.
  • We give you material if you need to carry out an impact assessment or answer a supervisory authority.
  • When the agreement ends, you can export everything first. After that we delete your customers' details, except what the law requires us to keep.
  • You have the right to the information needed to show that we keep to this agreement, and to have it audited. Get in touch and we will agree on how together.

Prices and payment

Plans are priced per business per month, excluding VAT or sales tax. You pay by card in advance, one month at a time (the payment is handled by Stripe), and the plan renews until you cancel it. There is no lock-in. What each plan includes is listed in the pricing and in the account.

If you move to a more expensive plan you pay the difference for the rest of the period and get the new plan straight away. If you move to a cheaper one you keep what you paid for until the end of the period, and the new plan applies from the next.

From Start, the account owner can buy extra texts as a top-up, 100 at a time, by card. It is a one-off purchase that does not renew. Top-up texts are used once the month's texts run out and stay on the account until they are used, also if you change plan. The Free plan sends no texts, so there they wait until you have a plan with texts again. Top-ups cannot be bought during a trial.

If we change the price we tell you in advance by email. If you would rather not continue, you can cancel before the change takes effect.

The Free plan

Free costs nothing and needs no card. Free includes 50 requests by email, 5 AI reply suggestions and 1 AI search check, in total for the account and not per month. Reminders are not counted.

Once the requests are used, new customers wait in the queue, up to 500, until you try or choose a plan. Nothing is deleted, and those waiting are asked once the account has a plan or a trial. Your QR code, short link and the posters you already have keep pointing at your profile, and you can always export your data. New poster designs, a new website check and the monthly report need Start once the requests are used.

The requests apply per business. They are also tied to the business's Google place, so a new email address for the same business gives no new ones. To keep track of that we store a one-way hash of the place.

Trial

Everything in Plauso can be tried free for 14 days, without a card. During the trial the account has every feature, but what costs per use has a cap for the whole trial: 20 texts, 200 requests (at most 50 a day), at most 300 customers in the queue, 15 AI reply suggestions, 2 AI search checks, 5 pieces of AI copy, 1 map ranking, 3 competitors, 2 Google posts and 3 users. We email you a reminder 3 days before the end.

If you choose no plan, the account goes to Free by itself when the trial ends. Nothing is charged and nothing is deleted. A published website stays up for 7 days and is then paused, users beyond Free's number are paused, and what Free does not include stops working, texts and integrations for example. Choose a plan and everything comes back straight away. If you choose a plan during the trial, the first payment is taken when the trial ends.

Each account, each email address and each business can try once. To keep track of that we store one-way hashes of the address and the business's Google place, which remain even if the account is deleted.

Credits and rewards

You can earn credits by getting started and using Plauso, following the stations under Rewards in your account. A credit is one text to a customer. You can earn at most 300 credits in total and 100 a month. Earned credits are valid for 12 months and are used on a plan with texts, after the month's texts.

Credits are never money. They cannot be cashed in, transferred or refunded when you cancel. Credits are never given for ratings or reviews, and every customer gets the same request. Credits earned through abuse, for example requests to made-up addresses or to yourself, we can take back.

Bought texts (top-ups) are not credits in this sense: they are paid for and stay until used.

Ending the agreement

You can cancel whenever you like, under Plan in your account. Cancel at the end of the period and you keep the plan for the time you have already paid for, and we charge nothing more. Choose to end it straight away and the plan stops at once, with no refund for the rest of the period. You are told before you press the button.

We can end the agreement if you break these terms (for example by filtering reviews or sending to people who have not bought from you) or if payment fails. Where we can, we contact you first so you have a chance to put it right.

Your short link and QR code keep pointing at your profile until you ask us to close them. Signs you have already handed out should not stop working the day after you leave.

If we added a booking button or a website link to your Business Profile, we ask before you cancel or move to a plan without a website whether to remove it or change it, so that no button on Google leads to a page that no longer works. The profile is always yours.

If something goes wrong

If we have caused you harm by being negligent, we compensate it, up to what you have paid for the service over the last twelve months.

We do not compensate lost profit or indirect losses, and we are not answerable for what a review platform does. Changed rules, a closed profile or a review you dislike are outside our control.

The limit does not apply if we caused the harm intentionally or through gross negligence. If you are a consumer, mandatory consumer law always comes before what is written here.

Google Maps and other services

Plauso includes Google Maps features and content: the search where you point out your business and your competitors, and the centre point of the map ranking. Your use of them is subject to the Google Maps End User Additional Terms of Service (maps.google.com/help/terms_maps) and the Google Privacy Policy (policies.google.com/privacy). If an account breaks them, we may switch the search off for that account.

Reviews are left with Google or the platform you chose, and their rules apply to them. If you connect a system such as Fortnox or Spiris, its terms cover the connection, and you can disconnect it whenever you like.

If you connect your Business Profile, Google's terms and guidelines for Business Profile also apply to what we publish for you. Business Profile is free from Google, and what you pay us for is Plauso's service. The profile stays yours: we write only what you approved, auto-replies included if you switched them on, and you can disconnect it whenever you like. Google's own notice about having someone help with the profile is at support.google.com/business/answer/7163406.

Changes to these terms

If we need to change the terms we email you before the change takes effect. Continuing to use Plauso after that means the new terms apply. If you would rather not, you can cancel.

Law and disputes

Swedish law applies to the agreement. If we cannot agree, the dispute is settled by a Swedish court.

If you are a consumer you can instead take the matter to the consumer dispute body in your own country. In Sweden that is the National Board for Consumer Disputes, arn.se, whose recommendations we follow.
